For independent retailers · 1 to 20 shops · 50 to 5,000 products

Know every morning what to order, from whom and how much.

Built for shops run by the owner, with no planning team. Refillo tells you every morning what to order so shelves do not run empty and money does not sit in stock that does not sell. It sends the purchase order to your supplier, follows the delivery until it arrives, and shows which products have stopped selling and what to do about them.

Who Refillo is built for

If you run between 1 and 20 shops with 50 to 5,000 products, you do not have four weeks to spend with an onboarding consultant or a buyer staring at spreadsheets all morning. You need five clear minutes before the shop opens.

1 to 20 shops, owner-run

Whether you have a single corner shop or a small local chain with a central warehouse, Refillo plans each location from its own sales and stock, and rolls store needs up when you ship from a warehouse.

50 to 5,000 products

Every night, Refillo checks how each product sells (steady daily staples, fresh items with a short shelf life, seasonal lines, or slow items sold in large supplier packs) and explains every number in plain words.

First plan the same day

What Refillo does for your shop every day

The menu follows your day: see what needs you on Today, review and send supplier orders in Order, check in boxes in Deliveries, and clear frozen cash in Products.

1. Morning order plan

Tells you what to order, from whom and how much

Orders are grouped by supplier in the order of their cutoffs. Each line shows how much the product sells a day, what is on the shelf and on the way, what Refillo suggests after pack sizes and supplier minimums, and how long the stock lasts.

In a sample shop (Maple Corner Market):
“Bagel Multigrain · Sells about 1.5 a day. 0 on the shelf, none on the way. You need 2, packs of 6, so 6. It is out of stock now. Enough until Sat 10 Oct.”

Before you decide whether to wait, Refillo tells you what skipping today’s order costs: in our sample shop, skipping Thursday’s Lakeshore Dairy order of $9,641 leaves 36 products short by 1,330 units over 4 extra days, about $2,294 of margin at the shop’s prices.

Order by supplier: Riverbend Bakery: order by today 2pm, arrives tomorrow ($41 across 2 products). In a sample shop (Maple Corner Market)

2. Send & follow the delivery

Sends the order to the supplier and follows the delivery

Click Review and send to preview the exact email and PDF purchase order your supplier receives. Once sent, the order moves into Deliveries under Due today, Late, or On the way.

When the boxes arrive, open the delivery to receive it: expected quantities are pre-filled so you only change lines that came short. If a line is short, Refillo asks once whether the missing units are still coming or not. It never guesses.

In a sample shop (Maple Corner Market):
Receiving PO-000452 from Hillside Farm pre-fills all 625 expected units across 12 produce lines, and records actual delivery time and fill rate on Hillside Farm’s supplier scorecard (98.9% on time and in full across 91 orders in 90 days).

3. Clear stock that does not sell

Says which products have stopped selling and what to do about them

Money tied up on the shelf cannot buy what customers actually want. Refillo lists every product that has gone 45 days or more in stock without a sale (days when the shelf was empty never count against a product) and ranks them by the cash sitting in them.

Every row gives you the action right there: Mark down, Return to supplier, or Stop reordering so Refillo stops proposing new orders while you sell down what is left.

In a sample shop (Maple Corner Market):
“$748 sits in 16 products that sold nothing in 45 days or more while in stock.” Top line: Light Bulbs Large: 26 on the shelf, $319 at cost, no sale in 96 days with stock.
Products not selling: $748 across 16 products with no sale in 45+ days while in stock. In a sample shop (Maple Corner Market)

Works for one shop or a multi-shop retailer

A single-location shop never sees a location column cluttering its tables. When you run multiple shops, Refillo groups each supplier’s order across your locations so you can review and send them together.

Multi-shop Today screen: Orders to 3 suppliers due today across 3 shops; Northshore Grocery Wholesale ($100,608 across 253 products) due by 12pm. In a sample shop (Harbor General Store, 3 shops, 1,000 products)
